Key points at a glance
- Treat duplicate matches as suggestions.
- Compare metadata and versions.
- Refresh citations after merging.
Open duplicate items in the right library
Choose Duplicate Items inside the relevant Zotero library. Detection uses fields including title, DOI and ISBN, so a match is a review prompt rather than proof. Separate group libraries are not checked against one another automatically.
Distinguish a work from a version
Example: A journal article was saved once via DOI and once from a PDF. Compare author, year, journal and DOI before merging. A preprint and its later published article may represent distinct bibliographic versions and should not be collapsed without checking.
Merge rather than delete
For a genuine duplicate, select the most complete record as a starting point and retain accurate differing fields. Zotero recommends merging because collections, tags and links to word-processor citations are preserved. Still check attachments and notes after the merge.
Recheck the document
Refresh the Zotero bibliography and inspect citations that used either record. Do not remove a similarly titled source on title alone. Library hygiene helps traceability, but original publication details remain the final reference.
Final submission context
Formal details can feel like a separate writing task, but they matter just as much for a printed submission. Anything missing, misplaced or inconsistently formatted in the document will also appear in the bound copy.
Use this guide together with your cover page, table of contents, page numbers, source notes and appendices. Prepare the final PDF for printing and binding only after the complete file has been checked.
Practical check before PDF export
- Do headings, chapter structure and page numbers match?
- Are sources, figures and tables included completely?
- Are required elements such as declarations, appendices or the cover page included where required?
- Did you open and check the final PDF after exporting it?
