Key points at a glance
- Inspect document properties.
- Check hidden objects separately.
- Reopen and test the cleaned copy.
Separate metadata from visible content
PDFs may store title, author, creation software and timestamps. Comments, attachments and hidden layers require separate inspection. Check both source and exported PDF; removing a visible name does not necessarily alter document properties.
Work on a copy with an approved local tool
Example: The properties still show the person who originally created the Word file. Export or clean a copy with a suitable local PDF tool. Do not upload a confidential thesis to an unfamiliar online converter without checking the privacy implications.
Inspect hidden information separately
Depending on software, a hidden-information tool can detect comments, layers and other objects. Editing the “Author” field alone cannot do that. Cleaning can affect signatures, forms or accessibility features, so inspect the result.
Test the actual submission file
Reopen the cleaned file and check page size, contents, links, fonts, images and legibility. If anonymous marking applies, follow your university’s specific instructions and inspect visible identifiers too.
Final submission context
Formal details can feel like a separate writing task, but they matter just as much for a printed submission. Anything missing, misplaced or inconsistently formatted in the document will also appear in the bound copy.
Use this guide together with your cover page, table of contents, page numbers, source notes and appendices. Prepare the final PDF for printing and binding only after the complete file has been checked.
Practical check before PDF export
- Do headings, chapter structure and page numbers match?
- Are sources, figures and tables included completely?
- Are required elements such as declarations, appendices or the cover page included where required?
- Did you open and check the final PDF after exporting it?
