Use the equation editor rather than an image
Word’s equation editor keeps mathematical expressions editable. This is useful when you later change a symbol, subscript or term. A screenshot may become blurry and cannot be revised in the same way as an equation.
Microsoft describes Insert > Equation as the entry point; Word for Windows also provides Alt + =. The equation field supports structures such as fractions, roots and indices. Menu labels and available functions can vary by version and platform.
Check notation and meaning together
Assign each quantity an unambiguous symbol. Do not use the same sign for different meanings without explanation. Distinguish subscripts, exponents, variables and units. Visually similar characters are not necessarily mathematically interchangeable.
Original simple example: For v = s / t, explain that s denotes distance travelled and t the time taken. State appropriate units and the period considered when interpreting average speed. Displaying a formula does not explain when or how you apply it.
If a formula comes from a source, reference it according to your citation style and check the original definitions. The same sequence of letters can mean something different in another model.
Set up consistent numbers and references
First establish whether your requirements call for continuous or chapter-based numbering. Use one consistent method for numbered equations. Word captions can use an equation label and maintain numbers as fields.
Then insert textual references through the cross-reference function to the relevant caption where your version supports it. A manually typed “see Equation 4” will not update when you insert an earlier equation. For numbers aligned beside equations, use your university template or test the chosen layout carefully.
Check revisions and the exported file
Update affected fields after moving material and inspect each equation reference. Check line breaks, spacing and equations close to page boundaries. A formula and its number should remain clearly connected after text changes.
Open the exported PDF and compare complex expressions with the Word source. Are all symbols present? Are fractions, indices and brackets correct? Check readability at normal viewing size and, where useful, on a printed sample before using the final print file.
Final submission context
Formal details can feel like a separate writing task, but they matter just as much for a printed submission. Anything missing, misplaced or inconsistently formatted in the document will also appear in the bound copy.
Use this guide together with your cover page, table of contents, page numbers, source notes and appendices. Prepare the final PDF for printing and binding only after the complete file has been checked.

Does every equation need a number?
Follow your discipline and formal requirements. Numbers are especially useful for equations referenced later. Simple mathematical expressions within sentences do not automatically need separate numbering.
Can I enter LaTeX in Word?
